01 — The structure
The six phases of a build
Every build, from a thirty-guest ceremony to a festival, goes through the same six phases. The length of each one and the number of people involved change; the order and the nature of the work do not. Recognising them is useful for one very concrete reason: almost every disaster we have seen comes down to someone trying to skip one or squeeze it into half the time.
1 · Planning
Starts at signature and ends the night before. It covers the site visit, reading riders, the technical plan, the power calculation, permits and licences, the schedule and the running order. It is the only phase that costs nothing in equipment and the one that most determines the result. A well-planned event builds boringly, which is exactly the adjective you want.
2 · Prep and load-out
In the warehouse, the day before: pull the equipment against the list, test every item — nothing goes on the truck without being powered up — build racks and looms in labelled blocks, and load in reverse build order, so the first thing you need is the last thing that went in. A badly ordered load turns a forty-minute unload into two hours of shifting cases to reach the back.
3 · The build
On site, in an order that is not negotiable: structure and staging first, then power distribution, then rigging and lifting, then sound and lighting, and finally cable runs, ramps and tidying the scene. Each step depends on the one before. Hanging a fixture before the truss is level and ballasted means taking it down again when somebody levels it.
4 · Test and tune
Line check channel by channel, system tuning with measurement, subwoofer alignment, RF scan and frequency coordination, focusing and programming the lighting, and a rehearsal with the band or DJ if there is one. It is the phase that gets cut when the build runs late, and it is precisely the one that separates an event that sounds right from the first track from one that spends the night chasing the problem.
5 · The show
Live operation: mixing, scene changes between blocks, level management, responding to what the client asks for and watching the system. Most of the technical work here is anticipation — seeing the problem coming — and the rest is staying out of the way. A visibly busy engineer during the event is usually a sign that something was not resolved beforehand.
6 · De-rig
The build in reverse, in the small hours, tired and in a hurry. It is the phase with the most incidents of the whole process: damaged equipment, cables left behind, parts lost. The fix is an outbound inventory against the load list and the discipline of isolating power before touching anything. Whatever is not controlled on de-rig shows up as a fault at the next event.
The proportions between phases are fairly stable. At a 200-guest finca wedding, planning takes six to ten hours of desk work spread over weeks; warehouse prep, half a day; the build, six to eight hours with three or four people; tuning, a good hour and a half; the event, five or six hours; and de-rig, two and a half to three. Added up, the invisible work is three to four times the visible hours.
Mallorca tip
The phase most underestimated on the island is the first one, and specifically the site visit. Quoting an inland finca without going is guesswork: you do not know whether the truck gets in, whether there is three-phase or a 25-amp single-phase supply, whether the cobbled courtyard throws sound back, where the nearest house is, or which way the wind comes in at seven in the evening. A visit costs half a morning and saves the extra cost that always turns up at the worst moment — the morning of the build.
